Payroll (Learn Role & Cover for Sickness & Holidays)

  • Analysing and inputting timesheets on a weekly basis
  • Welplan, weekly input for holiday credits and sickness, 4 weekly returns for Welplan
  • Welplan, sickness and holiday credits for site staff
  • Agency Timesheets – invoiced analysed weekly, purchase order and job number added and broken down into job numbers for inputting

Bought Ledger (Learn Role & Cover for Sickness & Holidays)

  • Purchase Ledger Invoice Processing & Reporting
  • Production of Purchase Orders for Administration Purchases
  • Processing BACS Payments to Suppliers

Sales Ledger (Learn Role & Cover for Sickness & Holidays)

  • Sales Ledger Invoice Processing & Reporting, Sales Daybook Maintenance
  • Credit Control Activities & Logging Revenue Receipts
  • Assisting with Sales Costings & Invoicing of Labour Supply Contracts

General Administration

  • Job Cost System Reporting & Analysis
  • Maintaining Petty Cash Records
  • Telephone Reception, Incoming/Outgoing Mail (& e-mail) Management
  • Visitor Reception, Signing in Book Management
  • General Secretarial Duties; Letter Typing, Faxing, Photocopying, Scanning, laminating & Filing
  • Maintenance of Spreadsheets & Company Data and IT Filing Systems
  • Maintenance of Job Costing System on Pegasus Opera Platform
  • Minute taking & Meeting Administration Support
  • Various non-routine tasks assigned by Supervisor or Director

Assistance to HR Manager

  • Site Safety Inspections – logged and filed weekly
  • Site staff starters packs – photocopied or updated when required
  • Maintenance of Staff Records
  • Assistance with Production of Safety Documentation & Information Records
  • Maintenance of Safety File system

Assistance to Quality Manager

  • Maintenance of Approved Supplier System
  • Production and maintenance of quality information records
  • Production and maintenance of environmental information records
  • Maintenance of Quality File system
  • Assist with development of business continuity procedures

Assistance to Business Development Manager

  • Assistance with Market Research Projects
  • Assistance with Maintenance of Website and On-Line Presence
  • Assistance with development of sales literature
  • Assistance with development of presentations
  • Assistance with event administration
  • Assist with Newsletter Production

Assistance to Engineers

  • Document control including Material certificates, close out packs etc.
